Privacy Policy: Practitioners

AVIGuk collects personal data which you provide to us that is needed to enable you to gain benefit as a user of this website. We also collect data from your VIG supervisor and accrediting supervisor regarding your development as a practitioner. We do not collect personal data from any other source. Supervisors are independent of AVIGuk and have their own privacy policies to which you should refer.

We have to have a legal basis to process this information and in our case, we say that we need this information in order to manage the contract that the Association has with those registered as learners on this website. The contract between us is that in return for your registration fee, we use your personal data to manage your learning, qualifications, attendance at Association events and also to provide you with the information you need to make the best use of the learning platform. The platform makes considerable use of a variety of communication methods within the platform itself in order for users to be able to reach each other.  These can be configured flexibly to suit your communication preferences.

You have the right to request a copy of the data held by the Association and we will respond quickly and without charge. You can also ask for data to be corrected or to be deleted, as long as that does not interfere with the Association’s ability to manage your membership.

Your consent is also sought before we would use your identifiable image on any publication, including websites or social media.

We do not share your data with other companies or organisations for them to contact you or to use your data in any way.

Information is processed online by Matrix LMS on behalf of the Association. This company is based in the United States, however the servers on which our platform is hosted are located within the European Union and complies with GDPR requirements and standards.

We use jotform to collect information from you to enable you to use features of our programmes.  We use your name and email to keep a financial account of your payments on a system called Quickbooks Online.  It is a legal requirement that we store this data.

Access to personal data is strictly controlled to AVIGuk officials and staff responsible for user management.  Information connected to your learning activity is accessible by teachers of the courses you undertake.

Personal data is archived within Matrix when the user closes their account. The reason for maintaining an archive is to enable accurate restoration to the platform for anyone re-registering. The legal basis for this is that the Association has a legitimate interest in continuing to hold this data. However, members may request that it be erased at the point of resignation or anytime thereafter. After being held for 5 years, the record is deleted.
